HubSpot is the better choice when marketing matters as much as sales, Salesforce when you already have a larger team and an administrator, and a custom CRM when your workflow (job sites, appointments, commissions, territories) does not fit a standard product. The short answer
There is no single best CRM for every small business. There is a right choice based on three questions: how many people will use it, whether you mostly sell (pipeline, follow-ups, quotes) or also run marketing (newsletters, landing pages), and whether your process looks like everyone else’s.
Our recommendation, plainly: Zoho CRM if the budget is tight and you want a lot of features for the price; Pipedrive if your team lives in its sales pipeline and wants a simple tool; HubSpot if you want marketing and sales in one place and accept higher prices at the middle tiers; Salesforce if you are already a large team with an administrator; a custom CRM if a standard product forces you to work around your own process.

Zoho and Pipedrive publish Canadian-dollar prices. HubSpot and Salesforce publish in US dollars: we converted them at the Bank of Canada rate of October 1, 2026 (1 USD = 1.4243 CAD). All prices are per user per month, before GST/HST and provincial taxes.

Example: a 5-user team, first year

Where is your customer data? PIPEDA and data residency
Your CRM holds personal information: names, emails, phone numbers, the history of every conversation. Under PIPEDA, the federal private-sector privacy law, hosting outside Canada is allowed: the Office of the Privacy Commissioner states that PIPEDA does not prohibit transferring personal information to another jurisdiction for processing. You stay accountable for that information, you need contractual and other means to ensure comparable protection, and you should tell customers, in clear language, that it may be processed abroad.
If your business operates in Québec, Law 25 adds a step: before communicating personal information outside Québec, which includes hosting it with a provider elsewhere, you must complete a privacy impact assessment and sign a written agreement. Hosting in Canada does not remove these obligations, but it often makes the assessment and the customer notice simpler.
All three main vendors offer Canadian hosting, with conditions: Zoho picks the data centre from the country you select at sign-up; Pipedrive hosts Canadian sign-ups in its Canadian region but notes that IP mappings can place an account elsewhere; HubSpot assigns paid subscriptions by the IP location at sign-up, while accounts that use only free tools are hosted in the United States.
- Create the account from Canada and select Canada as the country at sign-up.
- If you start on HubSpot’s free tools, ask how hosting works when you move to a paid plan.
- Ask support for written confirmation of your account’s hosting region and keep it with the vendor’s data processing terms.
- Update your privacy policy to say where customer data is processed.
- For a custom CRM, ask where it will be hosted before you sign.

Bilingual teams: French in the CRM
If part of your team or your customers work in French, check it before you buy. HubSpot lists French as supported in its software and in onboarding and support. Zoho lists French among its fully supported languages in Zoho CRM. Pipedrive is available in 22 languages and lets each user choose a display language without changing it for anyone else.
The menus are rarely the problem. Check what customers see: email templates, quotes, reminders and web forms should exist in both languages, and the CRM should record which language each contact prefers so follow-ups go out in the right one.
- Run the free trial with a real rep in each language, not only with the person buying.
- Check that dates, currency (CAD) and phone numbers follow Canadian formats.
- Ask which language and which hours support covers.
How to choose in 5 steps
- 1. Write your real process on one page: where leads come from, the stages, who follows up, when you invoice.
- 2. Count today’s users and the users you expect in two years: that is the multiplier on the bill.
- 3. List the tools to connect (website, forms, ads, email, calendar, accounting) and check the connector and the plan each one requires.
- 4. Run a two-week trial with two reps and real leads.
- 5. Before signing, test a full export of your data and get the hosting region confirmed.
Common pitfalls
- Choosing on the entry price, then finding that the automation or reports you need sit on the next tier, for every user.
- Forgetting required onboarding fees (US$1,500 on HubSpot Sales Hub Professional).
- Comparing an annual price with a monthly price: on Pipedrive Lite the monthly price is 79% higher (CA$34 vs CA$19).
- Budgeting a US-dollar price at par: at the October 1, 2026 rate, US$100 is about CA$142.
- Importing duplicate or incomplete contacts: cleaning the data is the most underestimated step.
- Buying a CRM without an adoption plan: if reps have to type what the system could fill in, they stop using it.
