Short answer
Trial requests turn into memberships when five things happen every time: the request gets an answer while the person is still interested, the trial is booked into a real class with a confirmation and clear arrival instructions, a reminder goes out before the class, a coach checks in after it, and the membership offer states its terms plainly, including what happens when a free trial ends. Each gap between those steps is a place where a trial can be lost. Texting a person who asked for a trial is generally allowed in Canada for six months after the request, and booking confirmations need no prior consent; in the US, automated texts fall under the TCPA and state laws. Before the trial: speed, booking and arrival details
A trial request is the warmest lead a gym gets, and it usually arrives when nobody is at the desk: during class, early in the morning or late at night. The fix is not a longer form, it is an answer during the same conversation, with a booked class at the end of it.
Ask only what the booking needs: what they want to try, which days and times work, and whether they have trained before, so you can suggest a beginner-friendly class. Health conditions and injuries are for your coach, not your booking script; note them for the coach and do not use them for anything else.
Then confirm in writing, by text or email, with what to bring, where to park, when to arrive and who will meet them. A reminder on the day, with a way to reschedule, catches the people who would otherwise simply not show up.
After the trial: the follow-up that converts
- Same day or next morning: a short check-in from the coach who led the class, not a generic promotion.
- Ask how the class felt and whether they have questions, then offer a conversation about plans.
- If they are not ready, offer a second class rather than pushing a contract.
- Stop when they say no, and honour every unsubscribe request.
- Log every step in your CRM, so whoever calls back knows what was said.
Free trials that turn into paid memberships: the disclosure rules
California: the Automatic Renewal Law requires a business that makes an automatic renewal offer to present its terms clearly and conspicuously before the purchase, and when the offer includes a free trial, to explain clearly the price that will be charged after the trial ends. The business must get the consumer’s affirmative consent before charging, send an acknowledgment that explains how to cancel, and offer an easy way to cancel. When a member asks to cancel by phone, a retention offer is allowed only after the business first tells them they can complete the cancellation at any time by saying they want to “cancel” (Business and Professions Code s. 17602, as amended by AB 2863). Other states have their own automatic renewal laws; check the ones where your members live.
Quebec: a gym that helps people improve their physical condition through exercise, weight control, treatment or diet is a “physical fitness studio” under the Consumer Protection Act. Its contract cannot exceed one year (s. 200), cannot renew automatically (Regulation, s. 25.10), and no payment may be collected before services begin, with the price paid in at least two roughly equal instalments (s. 201). For classes sold by phone or online, Quebec’s consumer protection office (OPC) requires certain information before payment and a written contract within 15 days. Yoga, dance and martial arts studios follow different rules.
Other Canadian provinces regulate fitness and personal development contracts in their own consumer protection laws. Have your trial-to-membership offer reviewed for the province or state where you operate.

Privacy basics for trial sign-ups
- Canada: PIPEDA applies to private-sector organizations that collect personal information in commercial activity; Alberta, British Columbia and Quebec have their own substantially similar laws.
- Collect only what the booking needs, say why, and do not reuse health notes for marketing. In Quebec, health information is sensitive and its use for another purpose needs express consent (P-39.1, s. 12).
- Kids’ classes: in Quebec, personal information about a child under 14 cannot be collected from the child without the consent of a parent or guardian (P-39.1, s. 4.1). Book children’s trials through the parent.
