AI agent · Accounting & tax firms

Every document in, before the deadline.

In tax season, your team spends as much time chasing slips as preparing returns. Leo tracks each client’s document list, says what is missing and follows up until the file is complete. It never gives tax advice.

Leo is ZeniTech’s AI agent for accounting and tax firms. It collects documents, reminds clients of filing and instalment deadlines, answers routine questions about your services and fees, and books meetings with the right accountant, by phone, text, email and on your website. Like every ZeniTech agent, it also handles prospecting, email, receivables tracking, analytics and security monitoring.

What Leo does for a firm

Leo takes on the chasing and the routine questions, so your accountants spend the season on the returns.

  • Document collection: each client’s checklist tracked until it is complete
  • Deadline reminders for income tax, sales tax and instalments, sent at the right time
  • Missing documents followed up without your team running after them
  • New individual and business clients welcomed and qualified
  • Questions about your services and fees answered from your fee schedule
  • Appointments booked in the right accountant’s calendar

A day with Leo

An example of a normal day in tax season once Leo is live. Illustrative, not a client case.

  • 8:00 am — Tax season reminders go out to individual clients
  • 9:15 am — A client sends their slips. Leo ticks the checklist and flags what is missing
  • 11:30 am — Clients who have not sent their documents are followed up
  • 2:00 pm — A business asks about your services. Leo collects its needs and books a meeting
  • 5:00 pm — A reminder goes to clients who pay tax instalments
  • 8:30 pm — A question about your bookkeeping services, answered right away

Guardrails

Leo handles logistics and information about your firm, never the professional judgement.

  • Never gives tax advice: your accountant validates
  • Applies your confidentiality rules
  • Never sends a document to the wrong person: each client sees only their own file
  • Answers from your documents and rules, not from general knowledge
  • Every conversation can be reviewed; you correct it, and it adjusts

Frequently asked questions

Can Leo check whether a client’s file is complete?

Yes. Leo tracks each client’s document checklist, tells them what is still missing and follows up until the file is complete. Clients can simply reply to a message with a photo or a PDF. Your team sees which files are ready and which are still waiting, instead of discovering the gaps when they open the return.

Does Leo give tax advice?

No. Leo can explain your services, your fees and your deadlines, and remind clients of what to send. Any question about how to treat an expense, what to claim or how to structure something goes to your accountant, who validates. You approve how Leo phrases that handoff during setup.

How is client confidentiality handled?

Leo applies your confidentiality rules, and each client sees only their own file: a document is never sent to the wrong person. Access to your tools and client documents is monitored around the clock, and your data is never used to train a third party’s model. We do not claim a compliance certification; we state in writing where your data goes before you sign.

Is it useful outside tax season?

Tax season is where Leo helps most, because it answers every client at once while your team prepares returns. The rest of the year it handles instalment and sales tax reminders, bookkeeping enquiries, new client intake and meeting bookings, so the same questions do not land on your accountants in every month of the year.

How long does setup take?

An agent that answers and captures enquiries goes live in 1 to 2 weeks. If you also want it connected to your CRM, your calendar and automated follow-ups, plan on 3 to 4 weeks. Everything is done remotely over video calls and written updates, in English or French, so your location does not change the timeline.

How much does Leo cost?

Setup costs CAD 3,000 to 7,500 (roughly USD 2,100 to 5,300), then CAD 750 to 1,500 per month (roughly USD 530 to 1,060), before taxes. The monthly plan includes reasonable usage; exceptional volumes are agreed in advance. The exact figure depends on how many of your tools the agent connects to, and it is written down before we start.
