AI agent · Law firms & notaries

Every enquiry received, every file prepared.

A prospective client who calls at 8 pm and gets voicemail often calls the next firm. Max answers, collects the basic facts and the documents, and books the consultation with the right lawyer. It never gives legal advice.

Max is ZeniTech’s AI intake agent for law firms and notaries. It answers by phone, text, email and on your website, day and night, prepares a short summary before each consultation and sends reminders. Like every ZeniTech agent, it also handles prospecting, email, retainer and invoice tracking, analytics and security monitoring.

What Max does for a firm

Max handles the front of the file: intake, scheduling, reminders and follow-up. The legal work stays with you.

  • Intake around the clock: every enquiry received and handled, including evenings
  • Facts and documents collected by practice area: family, real estate, business, estates
  • Consultations booked in the right lawyer’s or notary’s calendar
  • A summary of the essential facts ready before the consultation
  • Reminders of the appointment and the documents to bring
  • Enquiries that went quiet followed up, with tact

A day with Max

An example of a normal day once Max is live. Illustrative, not a client case.

  • 8:10 am — A family law enquiry. Max collects the basic facts and sends the document list
  • 9:30 am — A consultation is booked with the responsible lawyer
  • 12:00 pm — A reminder of tomorrow’s appointment and the documents to bring
  • 3:00 pm — The file summary is ready for the lawyer
  • 7:20 pm — A question about fees, answered from your fee schedule
  • 10:40 pm — A will request: an appointment is booked with the notary

Guardrails

Max is configured so the line between intake and advice is never crossed.

  • Never gives legal advice, and says so plainly when asked
  • Conflict checks stay with your team
  • Applies your confidentiality and professional secrecy rules
  • Answers from your documents and rules, not from general knowledge
  • Every conversation can be reviewed; you correct it, and it adjusts

Frequently asked questions

Can Max give legal advice?

No, never. Max receives the enquiry, collects the facts and documents and prepares the file; the lawyer or notary gives the advice. When someone asks what they should do, Max explains that the lawyer will answer at the consultation and offers to book it. You approve the wording it uses for that during setup.

What about solicitor-client privilege and confidentiality?

Max applies the confidentiality rules you set: what it may ask, what it must not collect before a conflict check, and who can see each conversation. Access to your tools and files is monitored around the clock, and your data is never used to train a third party’s model. Whether a given intake exchange is privileged is a legal question for your firm, and we do not claim any compliance certification.

Does Max run conflict checks?

No. Conflict of interest checks stay with your team. Max can collect the names of the parties involved so your team has what it needs to run the check, and it can flag anything that looks unusual, but the decision to take a matter is always yours.

Does it work for notaries too?

Yes: wills, powers of attorney, real estate transactions and estates. We configure your services and the information to collect for each one, so a first will and a property closing get different questions and a different document list. Each request is booked in the calendar of the notary who handles that kind of file.

How long does setup take?

An agent that answers and captures enquiries goes live in 1 to 2 weeks. If you also want it connected to your CRM, your calendar and automated follow-ups, plan on 3 to 4 weeks. Everything is done remotely over video calls and written updates, in English or French, so your location does not change the timeline.

How much does Max cost?

Setup costs CAD 3,000 to 7,500 (roughly USD 2,100 to 5,300), then CAD 750 to 1,500 per month (roughly USD 530 to 1,060), before taxes. The monthly plan includes reasonable usage; exceptional volumes are agreed in advance. The exact figure depends on how many of your tools the agent connects to, and it is written down before we start.
